If so, we have an exciting opportunity for an AO Administrative Officer to join our encouraging and welcoming team of dedicated military and civilian healthcare professionals and administrative staff working within the Aldershot Garrison Medical Centre, Aldershot Centre for Health. The vacant post is a full-time position working 37 hours per week. Part-time candidates will be considered but due to service delivery requirements it must be on a job share basis as full-time hours need to be covered. Does this sound like the role for you? If so, we would love to hear from you! Job description The Administrative Officer will provide administrative support to all doctors and practice medical staff within the Medical Centre. Dealing with patients by telephone and written correspondence, whilst maintaining patient confidentiality adhering to Caldicott Principles. Your duties will include working on the main reception as and when required, greeting patients and visitors to the facility in a friendly and professional manner and answering any queries patients may have regarding their appointments. Making appointments and maintaining the appointment system on the Defence Medical Information Capability Programme (DMICP). Person specification Main details of the role include but are not limited to: Using the Electronic Referral System (ERS) to refer patients to various hospitals within our area as per General Practitioner (GP) requests. You will need to liaise with patients to advise both appointment dates and locations. Processing Subject Access Requests via the E-Case (electronic) System. Providing cover for the main reception. Processing requests for service spectacles, allergy tags etc. Processing incoming hospital appointments and contacting Service Personnel (SP) either by e-mail or telephone to advise dates etc. 'Scanning and tasking' incoming mail in addition to everyday scanning of medical documentation. Please refer to the attached Terms of Reference for a full list of duties. Desirable Criteria: Good Information Technology (IT) and communication skills. Great organisational skills. The ability to work effectively within a diverse team and by yourself. You will need to articulate and be able to assimilate instructions and working practices. Have a good understanding of your responsibilities towards handling personal and medical data and confidentiality.
