Then this is the perfect position for you, and you are just the individual that we are looking for!Purpose of the roleThis role involves all legal admin operations requested by a customer. This includes electronic and hard copy filing, archive management, processing and delivery of all incoming and outgoing mail/messenger and courier items, printing, copying and scanning, and completing general administrative duties as required.This role will be accountable for establishing and maintaining an ongoing service based relationship with the client and customers and will be able to recognise and translate customer needs and expectations into a responsive service.Key Responsibilities:Filing:Return or add documents to existing client filesWork with the practice management system to log and record documentsHandle and administer closed files as requestedUnderstanding and processing of wills and other Principal DocumentsMaintain all filing and work areas in a tidy and orderly mannerCollect file and documents from client areas and return files to shelvesMail:Sort and distribute incoming, sort, and stamp outgoing mailScanning mail processRecord all incoming/outgoing special mail, messenger, and courier companiesArrange all deliveries and collection times with mail, messenger, and courier companiesReprographics/Scanning:Maintain equipment to a good working order and troubleshoot problems, place service calls when neededFollow all stock and consumable procedures. Replenish copiers with all consumablesPrioritise jobs and run them to meet customer requirements and deadlinesProvide photocopying and scanning as per customer instructionsAdministrative:Collect and accurately input monthly forecast informationCollect and complete any information required for billing or client charge back dataEnsure that job requests are tracked on system properly before beginning new requestUnderstand and comply with Docucentre corporate standards. Constantly seek ways to improve operations and suggest and implement approved ideasDeal with any customer enquires in a prompt and efficient mannerAccept requests for work, notifying customers of estimated completion time as appropriateCommunicate with customers on job or deadlines issuesKey SkillsAdvanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint, research tools and other systems implemented by the firm.Excellent telephone manner and competent knowledge of telephone systemsStrong on customer focusCapable of taking initiative and developing solutionsWell presented, with excellent communication skillsFlexible and enthusiastic, self-starter who is keen to progressAble to work alone as well as within a teamAttention to detail, ability to retain high concentration levels for extended periods of timeThe PackagePrivate Medical Insurance, Life Insurance/Life Assurance, Company Pension, Corporate Eye Care, Personal Accident and Company Sick Pay.
