Forbes Solicitors are looking for an Office Assistant to join the Team at the Manchester office. This role is a full-time role covering 36.25 hours per week, Monday - Friday. Part time hours will also be considered for this role. This is a great opportunity for a candidate to start their career in administration or further progress their career to develop their skills and knowledge and join a collaborative and professional team. Whilst the role will be working to the fast-pace, customer focus and high standards of a law firm, the role will also provide a sustainable work-life balance and relate to the regional area in which it is based. The Manchester office is home to a variety of departments within the firm including Insurance, Employment, Dispute Resolution, Contentious Probate and commercial Property. This gives the successful candidate the opportunity of gaining experience of the work in a diverse range of legal disciplines. The role will be responsible for delivering successful outcomes such as: Responsibility for maintaining office records ie sickness and holidays via the HR Database. Induction of new starters in conjunction with new members of staff starting within the Manchester Office, including Health & Safety. Training of new Administrators, as appropriate. Assisting with secretarial and administrative work whenever necessary and monitoring of workflow, via BigHand to ensure an equal division of workload. Dealing with incoming and outgoing post. Responsible for Digital Asset Media entering the office and recording on Digital Asset Register, as appropriate. Carrying out ISO internal audits to support the office in meeting its ISO/QMS requirements. Liaising with the IT Department to support staff in relation to the IT systems. Responsibility for the quality control of files and file opening of some files to meet ISO and QMS standards; Oversee maintenance, the cleaners and general housekeeping of storage facilities, where appropriate. Cover environment requirements, ie reading the meters, recycling etc Ordering of stationery. Answering incoming calls. Assisting with clients and visitors.
