Job titleOffice ManagerLine managerOperations ManagerAccountable toBusiness ManagerHours per week37.5Job summaryTo be responsible for the efficient management and direction of the administration and reception team, ensuring all duties are performed effectively and to the required standard, meeting the objectives of the practice.To support the management team in promoting quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development, and to carry out other duties as directed by the management team.Primary key responsibilitiesThe Office Manager is responsible for:Overseeing the administration and support operations of the practice, ensuring staff achieve their primary responsibilitiesLine managing all administrative and reception staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory trainingTo act as a role model, demonstrating and promoting the standards expected by the practice and creating the energy and enthusiasm for the service. Supporting, motivating and promoting good staff relations.Work with the management team on the implementation of projects, ensuring changes are communicated to staff and training arranged when required.Assist with change management, especially around IT systemsSupport the operations manager with recruitment, including induction.Completing staff appraisals as requiredUndertake return to work interviews, notifying management of any anomalies.Assisting with the management of staff HR filesAwareness of systems to ensure compliance with CQC regulations standards and to notify the management when there is noncompliance.Identifying and delivering team training where requiredCompiling the weekly reception rota.Coordinating the provision of reception and admin staff, ensuring sufficient cover is provided for periods of leave and other staff absencesCo-ordinate staff to ensure all tasks are completed on a daily basis, ensuring Standard Operating Procedures are understood and adhered to.Allocate day to day tasks to reception team members equitably and efficientlyEnsure communication systems are running smoothly, doctors and reception staff are kept fully informed of changes in procedures.Oversee use of the phone system, ensuring adequate cover during busy periods. Using reports to ensure calls are being answered in a timely manner.Reviewing and updating all administrative and reception policies and procedures as requiredParticipate in the significant event analysis pathway where required.Supporting the management team in the compilation of practice reports and the practice development planDeveloping, implementing and embedding efficient office processes and procedures to adhere to extant legislationTo have oversight of the appointment templates and highlight any difficulties with planning. Ensuring all leave is reflected.Supervise correct use of the appointment system, ensuring appointments are being booked correctly.Monitoring waiting times for services and alerting the management when lists are forming.Ensure tasks and workflow are completed within the suggested timeframe, giving staff protected time to complete.Be responsible for mapping patient information flowsProviding initial guidance and advice to patients who wish to verbally complainActing as building fire marshal, ensuring evacuation lists are current and that the visitors’ log is used appropriatelySecondary responsibilitiesIn addition to the primary responsibilities, the Office Manager may be requested to:Deputise for the operations/deputy practice manager during periods of absencePartake in audit as directed by the audit leadMaintain meeting schedule.
