ABOUT THE ROLEWe are seeking an Administration Assistant to support the operations and senior management teams. These tasks will be both project based, as well as general administration to assist in the effective running of the operations department. You will be building key internal and external relationships and particularly working alongside Operations Management Team, Central Office Staff, External suppliers and contractors, Participants and Residents.Location: Central Services with occasional travel to other services.Hours/Shift Pattern: Full Time 09:00 – 17:00ABOUT USThe Social Interest Group (SIG) believes that good care and support make for better lives. You will ideally be flexible in your approach and have experience working for multiple stakeholders and projects.OVERVIEW OF KEY RESPONSIBILITIESResponsible for the overall administration for duties provided by various teams within Operations and the Housing Department.Use of Advanced software: Create and maintain spreadsheets using formulas and formatting on Excel.Organise and co-ordinate meetings.Take minutes and actions from various meetings.Project Management support can vary in the administration setting.Management and co-ordination of on-call rotas for services.Act as a point of contact and resolve any enquiries in the operations department.Maintain records in an organised manner.Build internal and external relationships and manage these.Liaise with residents and participants to understand their needs and requirements.Other duties may include creating and formatting documents, sending letters, scanning documents, collating information, and co-ordinating responses relating to leases, utilities, repairs, maintenance and council tax.Other duties will vary.Other responsibilities than those described above may be required to be undertaken from time to time and will be expected to be performed to as long as it is within the capability and level of the position.KEY CRITERIAWhat we are looking for:IT Proficiency, advanced knowledge in Microsoft including Word, Excel, and OutlookExperience of developing and maintaining office administration systemsExperienced in note and minute takingExperience working for multiple stakeholders and deadlinesAbility to produce databases, reports, and chartsWhat we would like, but not essential:Experience within a project management environment, working on various projects and supporting delivery to diverse teamsExperience of working with people of complex backgrounds, ex-offenders, mental health, substance misuse, challenging behaviours or a good understanding of the sectorKnowledge of Health, Safety, and Equality legislation and practiceFurther details of the responsibilities and key criteria can be found in the JDPS attached.WORKING FOR USOur ValuesAmbition – Eager to succeed and to accomplish as much as possible for our peopleEmpowerment – Giving staff and the people we support the tools, training, and information they need to achieve their potentialTransparency – Upfront and visible about our actions and open to scrutiny from stakeholders, service users, and staffInclusivity – Listening to, understanding, and including all our stakeholders to ensure we make a difference and get things rightADDITIONAL INFORMATIONPlease note that this job advert may close early due to screening applications on an ongoing basis.
